Terms & Conditions
Last updated: 20 August 2026
These Terms & Conditions govern access to the Oud Al Madina website and orders placed with Oud Al Madina Trading L.L.C. By using the website or confirming an order, you agree to the terms that apply to that activity.
1. Business Information
This website is operated by Oud Al Madina Trading L.L.C., located at Al Malik Building, Mezzanine Floor, near Police Parking Gate No. 2, Deira Gold Souq, Dubai, United Arab Emirates. Our main focus is wholesale supply of fragrance oils and other eligible fragrance products. We may also accept direct orders within the UAE.
2. Website Information
We aim to keep product descriptions, availability, images, specifications and prices accurate. Minor differences may occur because of screen display, packaging updates, batch characteristics or photography. Website content is general information and does not constitute professional, regulatory or technical advice.
3. Product Use and Customer Responsibility
Customers are responsible for evaluating whether products are suitable for their intended use and market. Wholesale customers must conduct any required testing, labelling, registration, safety assessment and regulatory review before manufacturing, repacking, marketing, reselling, exporting or importing products.
Samples and scent descriptions are guides. Fragrance perception is subjective, and performance may vary according
to formulation, concentration, storage, application and other conditions.
4. Orders and Acceptance
Submitting an order, enquiry or payment does not by itself guarantee acceptance. An order becomes binding when we issue written confirmation or dispatch the goods, depending on the sales process. We may decline or cancel an order for availability, pricing error, suspected fraud, legal restriction, unsupported destination, payment failure or another reasonable business or compliance reason. Any amount collected for a cancelled order will be handled according to the applicable payment method and law.
5. Wholesale Quotations and Specifications
Wholesale quotations are valid for the period stated and may specify product, quantity, price, packing, lead time, payment, delivery basis and other commercial terms. The accepted quotation, pro forma invoice or written order confirmation forms part of the agreement and takes priority where it expressly differs from these general terms.
The customer must verify product names, codes, quantities, packaging, delivery details and destination requirements
before approval. Custom-made, specially packed, relabelled or customer-approved bulk orders may not be changed or
cancelled after work begins.
6. Prices, Taxes and Payment
Prices are shown or quoted in the stated currency and may change before an order is accepted. Taxes, shipping,
customs, duties, bank charges and other costs are included only where expressly stated.
Available payment methods may include Stripe, bank transfer, Tabby, Tamara or another method shown at checkout
or agreed in writing. Payment providers apply their own terms, verification and eligibility rules. Orders may be held until
cleared funds or approved payment confirmation is received.
7. Shipping, Risk and Title
Shipping is governed by our Shipping Policy and any delivery terms stated in the accepted quotation or invoice. For international orders, the agreed delivery basis should identify the point of handover and responsibility for freight, customs and insurance. Title to goods passes only after full payment unless otherwise agreed in writing. Risk passes according to the agreed delivery terms and applicable law.
8. Returns, Refunds and Claims
Cancellations, returns, exchanges, damaged goods and refunds are governed by our Refund and Returns Policy and any specific written wholesale agreement. Nothing in these terms limits rights that cannot legally be excluded.
9. Intellectual Property
The website design, Oud Al Madina branding, original text, graphics, product photographs and other original materials are owned by or licensed to Oud Al Madina and are protected by applicable intellectual-property laws. They may not be copied, republished, altered or commercially used without written permission, except where permitted by law.
10. Acceptable Website Use
You must not misuse the website, interfere with security, introduce malicious code, attempt unauthorised access, scrape content at unreasonable scale, impersonate another person, submit false information or use the website for unlawful activity.
11. Third-Party Services and Links
The website may use or link to third-party payment, delivery, communication, finance or social-media services. Those services operate under their own terms and policies. We are not responsible for third-party systems except to the extent required by applicable law.
12. Limitation of Liability
To the maximum extent permitted by law, Oud Al Madina is not liable for indirect, incidental or consequential loss, lost profit, lost business opportunity or loss caused by customer misuse, improper storage, unauthorised modification, destination-country restrictions or events beyond our reasonable control. Our total liability relating to a particular order will not exceed the amount paid for the affected goods, except where a different limit is required by law or agreed in writing.
Nothing in these terms excludes liability that cannot legally be excluded, including liability arising from fraud, wilful
misconduct or any mandatory customer right.
13. Force Majeure
We are not responsible for failure or delay caused by events beyond our reasonable control, including carrier disruption, customs action, government restrictions, natural events, strikes, utility or system failures, public emergencies or supply interruption. We will take reasonable steps to communicate and reduce the effect where practical.
14. Privacy
Personal data is handled according to our Privacy Policy
14. Governing Law and Disputes
These terms are governed by the laws of the United Arab Emirates as applied in the Emirate of Dubai. The courts of Dubai will have jurisdiction, subject to any mandatory law, consumer forum or written dispute-resolution agreement that applies.
Before starting formal proceedings, the parties should make a reasonable attempt to resolve the matter through written communication.
14. Changes and Sever-ability
We may update these terms by posting a revised version with a new “Last updated” date. Changes apply prospectively unless law requires otherwise. If any provision is found unenforceable, the remaining provisions continue to apply.

Courier, air freight or sea freight
Free UAE delivery: Eligible UAE orders with a product subtotal of AED 600 or more after discounts qualify for free standard delivery. International shipping and any specially requested or separately agreed freight service are excluded.
Delivery time frames are estimates and may vary because of order preparation, destination, courier availability, public holidays, customs clearance or events outside our reasonable control.
1. Order Processing and Confirmation
Orders are processed after payment is received and the order is confirmed. Cash-on-delivery orders, where available, are processed after verification. Wholesale quotations may specify separate production, preparation or packing times before dispatch.
2. Shipping Within the UAE
Working days exclude UAE public holidays and any non-operational days announced by the relevant courier. Delivery dates are estimates, not guaranteed appointments.
The free-delivery offer applies only to standard UAE delivery. It does not apply to international shipping, expedited delivery, special handling or a separately agreed freight arrangement. If an order is changed, partially cancelled or refunded and the remaining eligible product subtotal falls below AED 600, the applicable delivery charge may be deducted or collected where permitted and clearly communicated.
3. International Wholesale Shipping
We arrange international shipping for eligible wholesale and bulk orders to supported destinations, subject to carrier availability, customs requirements, product restrictions and applicable trade controls.
The shipping method, charges and delivery basis should be agreed before payment or dispatch. Any customs or transit estimate supplied by us is guidance only unless expressly confirmed in writing.
4. Customs, Duties and Import Requirements
Unless otherwise agreed in writing, the customer is responsible for customs clearance, import duties, taxes, permits, product registration and compliance with the destination country’s laws and import requirements. Customers should confirm local requirements before placing a wholesale order.
We are not responsible for customs delays, inspections, seizures, refusals, storage charges or disposal resulting from destination-country requirements, inaccurate customer information, prohibited imports or failure to obtain required approvals, except to the extent caused by our verified error or where liability cannot legally be excluded.
5. Tracking and Shipping Documents
Where tracking is available, we will provide a tracking number or relevant shipment details after dispatch. Freight shipments may use an airway bill, bill of lading or other carrier document instead of parcel tracking. Tracking frequency depends on the carrier’s system.
6. Split Shipments
An order may be dispatched in more than one shipment when necessary for availability, safety, carrier requirements or agreed logistics. We will inform the customer where this materially affects timing or cost.
7. Failed, Refused or Unclaimed Delivery
If delivery fails because the recipient is unavailable, the address is incorrect, the shipment is refused or customs clearance is not completed, re delivery, return, storage, customs or disposal charges may be payable by the customer. Any refund remains subject to the Refund and Returns Policy and deduction of non-recoverable costs where legally permitted.
8. Delays Beyond Our Reasonable Control
We are not responsible for delays caused by events beyond our reasonable control, including carrier disruption, weather, customs action, public holidays, border restrictions, government action, strikes, natural events, system failure or force majeure. We will provide available updates and reasonable assistance.
9. Damaged, Missing or Incorrect Items
Inspect the shipment promptly. Visible damage, missing items or incorrect items should be reported within 48 hours of
delivery with the order number, photos of the outer packaging, shipping label and affected products. Keep all
packaging until the review is complete.
This notification period helps us investigate with the carrier and does not limit any rights that cannot legally be excluded under applicable law. Claims are handled under our Refund and Returns Policy.

Refund and Returns Policy
Last updated: 20 August 2026
This policy explains returns, exchanges, cancellations and refunds for fragrance oils and other eligible fragrance products purchased from Oud Al Madina Trading L.L.C. Our main focus is wholesale supply, with direct UAE orders also handled under the relevant sections below.
1. Before Dispatch
Contact us promptly if you need to cancel or change an order. We will try to assist, but cancellation or amendment is not guaranteed after preparation, packing, custom work or shipment has started. Approved refunds may be reduced by non-recoverable payment, preparation or service costs where permitted by law and clearly communicated.
2. UAE Direct Orders
A standard, non-custom product may be returned within seven days after delivery when it is unopened, unused, undamaged, in its original sealed packaging and accompanied by valid proof of purchase. Return approval must be obtained before sending any item.
Because fragrance products can be affected by opening, use, contamination or improper storage, opened or used products cannot be returned for a change of mind, except where required by law or where the product is confirmed to be defective.
For an approved change-of-mind return, the customer is responsible for return delivery. Original delivery charges are
normally non-refundable.
3. Defective, Damaged, Missing or Incorrect Items
Report visible damage, missing items or an incorrect product within 48 hours after delivery. Provide the order number or invoice, a description of the issue, and clear photos or video showing the outer packaging, shipping label and affected product. Keep the goods and all packaging until we complete our review.
If we verify that the product was defective, damaged before delivery or supplied incorrectly, we may offer a replacement, exchange, repair where appropriate, credit note or refund according to the circumstances and applicable law. Reasonable return or replacement delivery costs for a verified OAM error will not be charged to the customer.
4. Wholesale and International Orders
Wholesale, bulk and international orders are generally final once preparation or shipment has begun. Returns for change of mind, slow resale, customer preference or an unapproved fragrance expectation are not accepted.
Claims for verified defects, transit damage, shortages or incorrect goods will be reviewed individually. The customer must notify us promptly, normally within 48 hours for visible issues and promptly after discovery for a concealed defect, and provide supporting evidence including invoice details, batch information where available, packaging and product photos or video.
No wholesale return may be sent without written return authorisation. An approved remedy may be replacement goods, an agreed credit note, partial refund or refund, depending on the evidence, value, shipping arrangement and applicable law.
We are not responsible for loss caused by customer-arranged transport after handover, improper storage or handling, unauthorised repacking, failure to clear customs, destination import restrictions or failure to obtain required permits, except where the issue results from our verified error or liability cannot legally be excluded.
Customers are encouraged to request and approve a sample before committing to a large fragrance-oil order.
5.Non-Returnable Items
6. Return Authorisation and Address
Contact us at info@oudalmadina.com or WhatsApp +971 50 823 4676 before returning anything. Provide the order number or invoice, the reason for the request and supporting evidence. Do not send goods to the shop address unless our team confirms the correct return instructions in writing. Unauthorised returns may be refused or delayed.
7. Inspection, Refunds and Exchanges
Returned goods are inspected after receipt. Approved refunds will normally be initiated within 7-14 working days to the original payment method. A bank or payment provider may require additional time to credit the customer’s account.
For cash-on-delivery or bank-transfer orders, we may request verified bank details to process an approved refund. If an approved replacement is unavailable, we may offer a suitable alternative, credit note or refund.
8. Mandatory Customer Rights
Nothing in this policy excludes or limits any right or remedy that cannot legally be excluded under applicable UAE consumer protection law or another applicable mandatory law.
